We helped Alofacil evolve an existing property maintenance platform into a clearer, more scalable product connecting property owners, maintenance teams, service companies, and administrators across mobile and web.
Alofacil is a property maintenance management platform designed to centralize communication, task management, documentation, reporting, and operational visibility.
The product connects multiple participants in the maintenance process — from property owners and field workers to external service companies and internal administrators.
Our role was to rethink the existing experience, simplify complex operational workflows, and create a consistent product system across mobile, web, and administrative interfaces.

Property maintenance involves much more than assigning a task.
A single issue can require communication with the property owner, job assignment, worker coordination, documentation, photo evidence, status tracking, verification, reporting, and access management.
The existing product already supported many of these functions, but the experience needed a clearer structure to make complex workflows easier to follow across different user roles.
The challenge was to create a product that could give every participant the right information without overwhelming them with the complexity of the full system.
As new capabilities were added, the original interface became harder to navigate consistently.
Different workflows competed for attention, important statuses were not always easy to scan, and operational information was spread across multiple parts of the experience.
The product needed stronger hierarchy and clearer patterns to support its growing scope.
The redesign reorganized the experience around the actual lifecycle of a maintenance request.
Users can more easily understand what is happening, who is responsible, what requires attention, and what should happen next.
The updated system brings tasks, communication, documentation, property history, and reporting into a more consistent experience across mobile and web.

The redesign covered the full maintenance ecosystem:
Maintenance requests
Creating, assigning, tracking, and completing jobs.
Work communication
Keeping task-related conversations connected to the actual property and issue.
Property history
Centralizing maintenance activity, inspections, completed work, and related documentation.
Worker experience
Giving field teams a focused mobile workflow for active jobs and updates.
Admin operations
Managing properties, workers, service companies, jobs, and performance from one web-based environment.
Key management
Tracking property keys, assignments, current holders, and handover history.
Reporting & monitoring
Providing visibility into open issues, active work, statuses, and operational performance.
We started by looking at the product as an operational system rather than a collection of screens.
We mapped the relationships between properties, maintenance requests, workers, service companies, administrators, and owners.
From there, we focused on the moments where information changes hands — because those are the points where maintenance workflows often become confusing or slow.
The redesign was built around three principles:
This helped us simplify the product without removing the operational depth it needed.

The redesigned Alofacil experience connects the full lifecycle of property maintenance.
Owners can stay informed without repeatedly contacting the office.
Workers can receive jobs, communicate, document progress, and update status from the field.
Administrators can manage properties, employees, service providers, open jobs, access, and performance from a centralized dashboard.
The same underlying workflow connects all three experiences.
From property setup to field execution
The Alofacil experience was designed around one connected operational flow between the web admin panel and the mobile application.
1. Property setup
Property owners or administrators create and manage properties, users, maintenance information, and service requests from the web-based admin environment.
2. Task creation & assignment
When maintenance is required, a job can be created, linked to the relevant property, and assigned to a worker or service provider.
3. Mobile handoff
The assigned task becomes available in the worker-facing mobile application with the context needed to take action — property details, issue information, files, and related communication.
4. Notification & action
Relevant team members can be notified when a new task, update, or action requires their attention, directing them back into the appropriate workflow.
5. Field management
Workers can review the task, communicate, add updates or documentation, and change its status as the work progresses.

Alofacil serves different users with very different needs.
A property owner wants visibility without operational noise.
A maintenance worker needs clear tasks and fast updates.
An administrator needs access to the full picture.
A service company may only need the information relevant to assigned work.
The hardest part was creating one connected system without exposing every user to every layer of complexity.
Instead of designing every interface around the full platform, we structured each experience around the responsibilities of that user.
Workers see the jobs and actions they need in the field.
Owners see progress and relevant property information.
Administrators get a broader operational view with management and monitoring tools.
Shared statuses, task structures, and communication patterns keep the experience consistent while each role remains focused.
This allowed the product to scale in complexity without making individual workflows harder to use.
A complete product system ready for implementation
The engagement resulted in a redesigned product concept connecting the web administration environment, field-facing mobile application, property operations, and communication workflows within one consistent system.
The work established a clearer product architecture and a scalable UX foundation for Alofacil’s next stage of development.

We help product teams redesign existing platforms around clearer workflows, stronger product architecture, and scalable systems — without throwing away what already works.
